Public booking and the website widget

No more Google Forms and phone calls asking “is there a free spot?”. A parent signs the child up themselves, and you get a ready-made record — no manual re-typing of sign-ups.

  1. Admin → Settings → Integrations — this is where the public booking link lives (the same one you post to Facebook, your website, or send by SMS).
  2. Calendar → new session — type Group (online booking works best for group spots, not one-off “on the phone” visits).
  3. Turn on the “Available for online booking” toggle — from that moment the time slot lands on the public booking page.
  4. Add a short description for parents and pick a therapist. Don’t pick a child — parents will do that themselves.

The booking page has three tabs: Calendar, Class list (with filters: session type, day of the week, time from, “show only with free seats”), and Join waiting list. A class near capacity shows a “Last spot!” chip — and once it’s full, the button automatically switches from “Sign up” to “Join waiting list” (see Waitlist).

The sign-up form looks different depending on whether the parent is already logged in:

  • Logged-in parent — the top of the page shows “Signed in: [their name]” and a My account link. When signing up, they pick a child from their existing records, or click Add a new child (first name, last name, date of birth) and enroll right away, without leaving the form.
  • Anonymous parent (no account) — a single form collects the guardian’s details (first name, last name, email, phone) and the child’s details (first name, last name, date of birth), and one click both creates the account and enrolls the child. An Already have an account? Log in link switches to sign-in instead, in case an account already exists.

Both paths require checking a consent box: “I consent to the processing of my child’s personal data, including health data, for the purpose of organising therapy…” (GDPR Art. 9(2)(a) — health data) — the submit button stays disabled until it’s checked. The seat counter updates immediately after signing up.

On the practice side: a child from an online sign-up appears on the session’s participant list automatically, and clicking their name opens the full record — billing and SMS data are already there.

  1. Admin → Settings → Integrations — next to the public link is a ready-made widget snippet (your clinic’s slug is already filled in, nothing to edit).
  2. Copy snippet and paste it into WordPress, Wix, or plain HTML on your site.
  3. The widget renders as an iframe with the list of sessions — the parent signs up without leaving your site, and the rest of the form works exactly the same as via the public link.

A parent says they don’t see any times in online booking — what should I check? Make sure the session has the “Available for online booking” toggle on, that the therapist has working hours set for that window, and that there’s no room conflict.

Does the widget require the webmaster to know how to code? No — it’s a single line of script to paste, no configuration needed on the website’s side.

Can I turn off online booking temporarily without removing the link? Yes — turn off the toggle on specific sessions, or the whole module in the Integrations tab (Admin → Settings); the link stops showing new times, but nothing gets deleted.

Does a parent have to register separately before signing up their child? No — the form for a logged-out parent creates the account and enrolls the child in one step. If the parent already has an account (e.g. from an earlier sign-up), they can just click “Already have an account? Log in” instead of filling everything in again.
