Payments: generating dues and importing your bank statement

Why

End of month usually means Excel: who came, who cancelled, what to add up. In Planote the dues list is empty until you click Generate monthly — and the bank statement matches itself to children.

Note

This is a separate tab from Finance (a revenue report: breakdown by session type, daily summary, CSV export). Payments is where you generate dues and book incoming transfers — both tabs total revenue from the same sessions and should agree.

Generating dues — click path

1. Admin → Payments → Generate monthly — Planote gathers completed sessions from the calendar and lays out a list of what’s due.
2. The list shows groups: an institution (e.g. a preschool — several children under one sum) and a guardian with several children under one account.
3. The breakdown shows different billing models: individual, group, flat monthly, block (e.g. a day camp) — one list, different rules.

Importing a bank statement — click path

1. Admin → Payments → Import bank statement — upload a CSV file from the bank.
2. Planote immediately tries to match the rows: a transfer with the child’s name and the exact amount matches automatically (auto-match). A bulk transfer from an institution (just the institution’s name, an amount equal to the group’s total — no children’s names in the title) matches the whole group at once.
3. Unmatched rows get the status “No match” — the Approve button is blocked until you pick the payment manually from the list for each such row.
4. Approve — balances update in one click, statuses move to paid.

FAQ

What if a transfer from a parent doesn’t have the child’s name in the title? It goes to “No match” — pick the right payment manually from the list before approving.

Can I generate dues for a month that has already passed? Yes — Generate takes into account completed sessions from the selected period, no matter when you click.

How does Planote recognize a bulk transfer from an institution if there are no children’s names in it? By the institution’s name in the transfer title and an amount equal to the total dues of the group assigned to that institution.
