Session: attendance, notes and recommendations
Three things are left to do after a session: mark who was there, write down what happened, and maybe send the parent a homework task. In Planote all three live on the same session card — no switching between screens.
Attendance — click path
Section titled “Attendance — click path”On the session card, next to each child, a Present / Absent toggle (with an Excused absence option). The summary at the top shows how many are present and how many are absent.
Notes — click path
Section titled “Notes — click path”- Menu → Notes → New note (or straight from the session card, if the note is about a specific session).
- Pick the child and optionally the related session.
- Two fields to choose from:
- Private note — visible only to therapists and the practice admin.
- Note for guardian — visible to the parent/guardian and external institutions (e.g. a preschool, if the child is assigned to one).
- Save.
If a note already exists for that session, Planote asks whether you want to replace it, append to it, or leave it as is — so nobody’s work gets overwritten by accident.
Browsing all notes
Section titled “Browsing all notes”Menu → Notes isn’t just a “New note” button — it’s also a searchable list of every note in the practice: filter by therapist, by child, by date range, a text search box, and a “visible to parent only” toggle. Handy when you’re looking for a specific note but don’t remember which session you added it under.
Recommendations — click path
Section titled “Recommendations — click path”- On the session card, the Recommendations for parent section — pick a child (if the session has several) and type the recommendation.
- Send recommendation — it lands right away in the Recommendations tab of the parent portal.

Does the parent see a private note? No — only the “Note for guardian” reaches the parent portal. A private note stays with the team.
Can I delete a recommendation once it’s sent? Yes — from the child’s record, Recommendations tab; deletion can’t be undone.
What if I made a mistake in a note for a session someone else already described? Planote shows the existing content and asks whether to replace it, append to it, or open the existing note for editing — no version disappears without a warning.
