Specializations and session types — setting up your offering
Before AutoPlanner or the calendar can enforce who is allowed to run which session, they need two things: a list of your team’s competencies and a catalog of your offering with real prices. That’s the foundation everything else builds on.
Specializations — click path
Section titled “Specializations — click path”- Admin → Specializations.
- Add — the competency’s name (e.g. speech therapy, sensory integration, hand therapy).
- Assign specializations to therapists in their profiles — that’s what AutoPlanner and the calendar filter on to decide who can run a given session type.
Session types — click path
Section titled “Session types — click path”- Admin → Session types → Add type.
- Name and an optional alias (shown wherever space is tight, e.g. in the calendar).
- Type: Individual or Group. For group sessions you also set the max number of participants.
- Required specialization (optional) — leave it unset and any therapist can run the session; set it and only people with that competency show up in the calendar and AutoPlanner.
- Duration (in minutes).
- Billing model:
- Per session fee — a price per session.
- Monthly flat rate — a fixed monthly amount regardless of session count.
- Prepaid block (day camp) — one payment for the whole range, set when creating the actual sessions (see Block billing).
- Class description (for parents) — shown on the public booking page under the type’s name, can include a link.
- Color — used in the calendar and on session cards.
Deleting a session type doesn’t erase history — past sessions stay, the type is just disabled from being picked for new ones.

What happens if I delete a session type that already has scheduled sessions? The type is deactivated, not deleted — existing and past sessions of that type stay unchanged, you just won’t be able to pick it for new sessions anymore.
Can I change the billing model of an existing session type? Yes, at any time — the change applies to new sessions created from then on, it doesn’t retroactively recalculate dues already issued.
Why restrict a session type to one specialization instead of leaving “any therapist can lead this”? Worth doing when the session requires specific qualifications (e.g. hand therapy) — AutoPlanner and the calendar will then stop proposing people without that competency.
